Effective Date:
October 17, 2026
Version:
1.1
Governing Law:
Delaware
Operational Jurisdiction:
Virginia
Applicability:
All participants in ERETAI events, including conferences, workshops, seminars, and gatherings

1. Purpose

This policy explains the terms under which individuals may participate in ERETAI events and grants ERETAI the right to use images and recordings captured during events. By attending or participating in any ERETAI event, you acknowledge that you have read, understood, and agreed to be bound by the terms of this policy. This policy ensures that all participants understand their rights, responsibilities, and the permissions granted to ERETAI concerning media capture and use.

2. Assumption of Risk and Responsibility

2.1 Voluntary Participation

Participation in ERETAI events is entirely voluntary. By attending, you acknowledge that you are doing so at your own discretion and have chosen to participate knowing the inherent risks associated with in-person and virtual events.

2.2 Inherent Risks

ERETAI events may involve travel, physical activity, exposure to various environments, and interaction with other participants. While we take reasonable precautions to ensure a safe environment, we cannot eliminate all risks. You assume all risks related to your participation, including but not limited to physical injury, illness, loss of property, and emotional distress.

2.3 Personal Responsibility

You are responsible for:

  • Your own safety and well-being during events
  • Securing your personal belongings
  • Following all instructions provided by event staff and organizers
  • Complying with all applicable laws and our Code of Ethics & Professional Conduct
  • Reporting any safety concerns to event staff immediately

2.4 Hold Harmless

To the fullest extent permitted by law, you release, waive, and discharge ERETAI, its officers, directors, employees, agents, and representatives from any and all liability for personal injury, property damage, or other loss arising from your participation in ERETAI events, except in cases of gross negligence or willful misconduct by ERETAI.

3. Health and Safety

3.1 Health Protocols

ERETAI may require health screenings, vaccinations, mask usage, social distancing, or other health and safety measures at any event. These requirements may vary depending on public health conditions and event location. Participants who do not comply with required health protocols may be refused entry or removed from the event at ERETAI‘s discretion.

3.2 Accommodations

If you require special accommodations for health, accessibility, or other needs, please contact info@eretai.com at least two weeks before the scheduled event. We will work with you to provide reasonable accommodations to ensure your full participation.

4. Media Release

4.1 Consent for Media Capture and Use

By attending or participating in any ERETAI event, you grant ERETAI a worldwide, royalty-free, perpetual, and irrevocable right to capture, record, and use your image, likeness, and voice in photographs, videos, audio recordings, livestreams, and other media formats. ERETAI may use this content for promotional, educational, archival, and marketing purposes across all platforms, including but not limited to our website, social media, marketing materials, and event documentation.

4.2 Opt-Out Procedure

If you do not wish to be photographed or recorded, you have the right to opt out of media capture.

Opt-Out Instructions: To opt out, notify a member of event staff immediately upon arrival at the event. Inform them that you do not consent to photography or recording. ERETAI will designate you as a no-recording participant and make reasonable efforts to exclude you from photographs and recordings. However, we cannot guarantee complete exclusion in all circumstances, particularly in wide-angle shots, livestreams, or candid photography. If you have concerns about specific situations, speak with event staff directly.

Your decision to opt out will not affect your ability to participate in the event or receive event services. The opt-out choice applies only to that specific event; you may choose differently at future events.

5. Minors at Events

5.1 Supervision Requirement

Minors (individuals under age 18) may not attend ERETAI events unaccompanied. All minors must be accompanied by a parent, legal guardian, or authorized adult supervisor at all times during the event.

5.2 Parental Consent for Media Release

For any minor participant, the parent or legal guardian must provide explicit written consent before the minor may be photographed, recorded, or have their likeness used in any media. ERETAI will collect signed media release forms from parents or guardians at event registration. Without documented parental consent, minors will not be recorded or photographed.

5.3 Age-Appropriate Programming

ERETAI may restrict attendance at certain events or sessions based on age requirements. Information about age restrictions will be provided at the time of registration. Parents and guardians are responsible for determining whether events are appropriate for their minor children.

6. Refunds and Cancellations

6.1 Refund Policy

Event fees and refund terms are governed by the Membership Billing Policy or the specific event registration terms provided at the time of registration. Please review the applicable policy for your event to understand refund eligibility, deadlines, and procedures.

6.2 Event Cancellation by ERETAI

ERETAI reserves the right to cancel any event due to circumstances beyond our reasonable control, including but not limited to natural disasters, severe weather, public health emergencies, government mandates, or unforeseen technical issues. In the event of cancellation, ERETAI will provide registered participants with refunds or credits as appropriate, to be applied toward future events or membership fees.

6.3 Participant Cancellation

If you need to cancel your participation, refer to the event-specific registration terms or contact info@eretai.com for guidance on cancellation procedures and applicable refund terms.

7. Modifications to Policy

We may update this policy as we host new types of events, expand to new venues, or adjust our media and recording practices. Safety and respect remain constant regardless of format. Changes to this policy will be posted on our website and made available to all event participants. Your continued participation in ERETAI events following any policy modification constitutes your acceptance of the modified terms. We recommend reviewing this policy periodically to remain informed of any changes.
